How Much Revenue Do Contractors Lose From Missed Calls?
Calculate how missed calls affect contractor revenue, understand realistic recovery assumptions, and learn how to follow up with more customers.
An unanswered call can represent a missed estimate, service appointment, or future customer. But not every unanswered call is a lost sale: repeat callers, spam, existing customers, and people who ultimately book anyway need to be excluded.
Why calls go unanswered
Contractors work on ladders, in crawlspaces, behind the wheel, and with customers. Phone coverage also drops during evenings and weekends. The useful question is not "How many calls did we miss?" but "How many qualified new inquiries weren't followed up?"
Calculate the potential opportunity
Consider a hypothetical HVAC business receiving 200 calls each month:
| Input | Assumption |
|---|---|
| Total monthly calls | 200 |
| Missed-call share | 20% |
| Missed calls | 40 |
| Share that are qualified new inquiries | 50% |
| Qualified missed inquiries | 20 |
| Booking rate if successfully re-engaged | 30% |
| Potential incremental jobs | 6 |
| Average job revenue | $500 |
| Potential monthly revenue | $3,000 |
The arithmetic is 200 × 20% × 50% × 30% × $500 = $3,000. Annualizing that scenario produces $36,000. It is not an industry benchmark, a prediction, or a guaranteed recoverable amount. It assumes the six jobs would not otherwise have booked and that the business has capacity to serve them. Revenue is not profit.
Three useful ways to respond better
1. Acknowledge eligible missed calls
A configured business texting workflow can invite callers to explain what they need, subject to consent and messaging rules.
2. Handle evenings and weekends clearly
A short after-hours intake can collect location, requested work, and preferred callback time. Emergency requests need a human-led escalation path if emergency coverage is advertised.
3. Give every inquiry an owner
Store the call outcome, lead details, employee assignment, and next action in one place. A text without reliable follow-through isn't a recovered lead.
Measure the real result
Compare a 30-day baseline against the same measures after implementation: missed calls, qualified inquiries, response rate, appointments, jobs completed, and associated revenue. Deduplicate repeat callers and distinguish booked jobs from estimates.
